Cancellation & Payment Policy

At Joshua Tree Learning Centre, we value the time of our clients, families, and clinicians. The following policies help ensure appointments, assessments, groups, and workshops are available to those who need them while supporting the sustainability of our services.

Appointment Cancellations

If you need to cancel or reschedule an appointment, we ask that you provide a minimum of 24 hours’ notice.

Appointments cancelled with less than 24 hours’ notice will be subjected to the full appointment  fee.

Missed Appointments (No-Shows)

Clients who do not attend a scheduled appointment and do not provide notice will be charged the full appointment fee.

Repeated missed appointments may impact future booking availability.

Assessments

Psychological and educational assessments involve significant preparation, scheduling, and administration time.

Assessment deposits, where applicable, may be non-refundable once preparation has begun. 

Specific assessment cancellation policies will be discussed during the intake process.

Groups, Workshops, and Programs

Registration fees help secure your spot in a program and allow us to plan staffing, materials, and resources.

Unless otherwise stated:

  • Cancellations received 14 or more days before the program start date may qualify for a full refund less any applicable administration fees.
  • Cancellations received fewer than 14 days before the start date may not be eligible for a refund.
  • Missed sessions are generally not refundable and cannot be credited toward future programs.
  • Joshua Tree Learning Centre reserves the right to cancel or reschedule programs due to insufficient registration, facilitator illness, weather conditions, or unforeseen circumstances. In such cases, participants will be offered a refund or transfer option where appropriate.

Payment Expectations

Payment is due at the time services are provided unless other arrangements have been made in advance.

We accept approved payment methods as outlined by our administrative team during the intake process.

Clients are responsible for understanding any insurance or benefit coverage available to them. 

Payment remains the responsibility of the client regardless of insurance reimbursement.

Outstanding Balances

Outstanding balances may need to be paid before future appointments, assessments, or registrations can be confirmed.
