Assessment Intake Deposit Policy

Why is a deposit required?

Due to the high demand for assessment services and ongoing waitlists, Joshua Tree Learning Centre requires a $240 deposit to reserve assessment appointments.

The deposit helps ensure that appointment spaces are held for families who are ready to begin the assessment process while allowing us to provide timely access to services for other clients on our waitlist.

How does the deposit work?

Once your $240 deposit is received, it will be placed on your client account.

  • Private Pay & Extended Health Benefits: Your deposit will be applied toward the total cost of your assessment.
  • Third-Party Funded Assessments (such as Jordan’s Principle, Employee and Family Assistance Programs (EFAP), government agencies, or other approved funding sources): A $240 deposit is still required to reserve your assessment appointments. Once your assessment has been completed, your deposit will be refunded.

Deposits must be paid within 48 hours of receiving your assessment booking confirmation. If  payment is not received within this timeframe, your assessment appointments may be released  and offered to another family on our waitlist.

What if I need to reschedule?

If you need to reschedule your assessment appointments and provide more than seven (7)  days’ notice, your deposit will remain on your account.

  • Private Pay & Extended Health Benefits: Your deposit will continue to be applied toward your assessment or other eligible Joshua Tree Learning Centre services.
  • Third-Party Funded Assessments: Your deposit will remain on file until your assessment has been completed, at which time it will be refunded.

What if I cancel my assessment?

The initial $240 deposit is non-refundable if you choose not to proceed with your assessment.

  • Private Pay & Extended Health Benefits: Your deposit will remain on your client account as a credit and may be applied toward future eligible services at Joshua Tree Learning Centre.
  • Third-Party Funded Assessments: If you cancel and do not proceed with your assessment, your deposit will be forfeited and will not be refunded.

What happens if I cancel or reschedule with less than 7 days’ notice?

Assessment appointments require significant clinician preparation and scheduling. Throughout the assessment process, clinicians dedicate substantial time to interviewing, testing, scoring, interpreting results, and preparing reports. Many assessments involve 12 or more hours of clinical work, with individual appointments lasting between 2 and 4 hours. When appointments are cancelled on short notice, it is often not possible to offer that time to another family.

If your assessment appointments are cancelled or rescheduled with four to seven (4-7) days’ notice, an additional $240 late cancellation fee will be charged.

This fee will remain on your client account and may be applied toward a future assessment or other eligible services at Joshua Tree Learning Centre.

What happens if I cancel or reschedule within 3 days of my appointment? 

If your assessment appointments are cancelled or rescheduled with less than three (3) days’ notice, an additional $240 late cancellation fee will be charged.

Because it is extremely difficult to fill lengthy assessment appointments with such little notice, this fee cannot be applied toward your assessment, a future assessment, or any other services provided by Joshua Tree Learning Centre.

We understand that unexpected circumstances can arise. Whenever possible, we ask that you provide as much notice as possible if you need to change your appointment. Providing advance notice allows us to offer assessment appointments to other families waiting for services while respecting the significant time our clinicians dedicate to preparing for every assessment.
